How Site Seven collects, uses and protects personal information in line with the Protection of Personal Information Act (POPIA).

Last updated: 12 October 2026

Site Seven (“we”, “us”) respects your privacy. This policy explains what personal information we collect through siteseven.co.za and in the course of providing our services, why we collect it, and how we protect it in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

1. Who we are

Site Seven is a South African digital studio providing website development, APIs and integrations, business automations, AI chatbots, website hosting, email management and email branding. For the purposes of POPIA we are the responsible party for personal information collected through this website.

2. Information we collect

  • Information you give us: your name, company, email address, phone number, the service you are interested in, your budget and any project details you share through our contact form, by email or on a call.
  • Client information: billing details, account contacts and the information needed to deliver and support the services you have engaged us for.
  • Technical information: IP address, browser type, device information and pages visited, collected through server logs and, where enabled, analytics cookies.

3. How we use your information

  • To reply to your enquiry and prepare a quote
  • To deliver, host, support and improve the services you have agreed to
  • To send invoices and service related communication
  • To keep our website and systems secure and to understand how the website is used
  • To meet our legal, tax and accounting obligations

We only process personal information where we have a lawful basis to do so, such as your consent, the performance of a contract with you, a legal obligation or our legitimate interest in running and securing our business.

4. Direct marketing

We will only send you marketing communication if you have agreed to it or if you are an existing client and the communication relates to similar services. Every message includes a simple way to opt out, and you may opt out at any time by emailing [email protected].

5. Sharing your information

We do not sell your personal information. We share it only with trusted service providers who help us run our business, such as hosting, email, payment and software providers, and only to the extent needed for them to perform their service. These providers are required to keep your information confidential and secure. We may also disclose information where the law requires it.

6. Cross border transfers

Some of the software and cloud providers we use may store information outside South Africa. Where this happens we make sure the provider is subject to laws, binding agreements or policies that offer a level of protection substantially similar to POPIA.

7. Security

We use reasonable technical and organisational measures to protect personal information, including encrypted connections, access controls, regular backups and limiting access to people who need it. If we become aware of a security compromise affecting your information, we will notify you and the Information Regulator as required by POPIA.

8. How long we keep information

We keep enquiry information for as long as needed to respond and follow up, and client records for as long as needed to provide our services and meet legal and tax requirements, after which it is deleted or de-identified.

9. Cookies

Our website uses essential cookies so that it works properly. Where we use analytics cookies, they help us understand how visitors use the site so we can improve it. You can block or delete cookies in your browser settings.

10. Your rights

You have the right to ask whether we hold your personal information, to request access to it, to ask us to correct or delete it, to object to certain processing and to withdraw consent where processing is based on consent. To make a request, email [email protected]. We may need to verify your identity before acting on a request.

If you are not satisfied with how we have handled your information, you may lodge a complaint with the Information Regulator of South Africa at inforegulator.org.za.

11. Changes to this policy

We may update this policy from time to time. The latest version will always be available on this page with the date it was last updated.
